Blue Print | Best Practice | Trafostationskontrolle
GreenGate's blueprint for transformer substation monitoring provides best-practice applications for planning, scheduling, control, and documentation. The solution supports visual inspections and maintenance of pole-mounted, compact, and building-integrated substations, automatically generates maintenance orders based on system type, and enables guided recording of defects in all relevant system components. Additionally, tap change and transformer temperature are recorded, and the system condition is assessed based on defects and their severity. Transformer substations are a central component of energy distribution. Depending on their design, they are located in buildings or on poles and consist of transformers, associated equipment for the respective voltage level, and grounding systems. Regular inspections ensure safe operation and the early detection of malfunctions. Maintenance and repairs are carried out by the operator or by external service providers. Transformer substation monitoring presents numerous challenges. Planning must consider risk-based inspection intervals, limited personnel resources, regulatory requirements, and dependencies on other tasks. In the planning phase, geographical dispersal, unforeseen disruptions, and the coordination of vehicles, equipment, and teams complicate operations. During execution, safety management, weather and environmental factors, differing technical designs, and the need for rapid decision-making in case of defects are paramount. Complete and standards-compliant documentation is essential. It must include timestamps, photos, and measurement logs, be integrable with digital maintenance or asset management systems, and guarantee a complete history for authorities, insurance companies, and audits. Standardized data formats also form the basis for analysis and predictive maintenance.

Companies that provide company or pool vehicles are legally obligated to regularly check whether their employees possess a valid driver license (§ 21 StVG). The employer is considered the vehicle owner and is liable to prosecution if they allow driving without a valid license. A one-time check is insufficient; recurring checks are required. GreenGate offers a standard solution for this with GS-Works. The mobile app is part of the GS-Service software suite and enables the planning, execution, and audit-proof documentation of drivers license checks on mobile devices. The so-called blueprints are tried-and-tested best-practice concepts that must be individually adapted to customer systems. Drivers license checks serve as legal protection and risk management for the vehicle fleet. They are mandatory for company and pool vehicles, but not for purely private cars. No legally prescribed check interval is specified; in practice, checks every six months have proven effective, ideally before every trip for pool vehicles. Documentation must comply with data protection regulations (BDSG and GDPR). During the check, only the original drivers license may be examined. The employer or an authorized person must verify its authenticity and validity using security features such as watermarks, edges, lettering, and tactile textures. Furthermore, the validity in Germany, the correct driver's license category, any conversions, and official restrictions (e.g., automatic transmission restrictions) must be checked. Every check must be documented in writing, including the date and the drivers signature. These records should be kept for at least five years. Standardized forms or digital solutions such as GS-Works facilitate legally compliant implementation.

Digital key management is a solution for the secure, efficient, and traceable organization of physical keys in daily operations, using the GS-Service software suite from GreenGate AG. It addresses the typical weaknesses of manual key management and replaces them with a structured, digital system. In many companies, key management is challenging from both an organizational and security perspective. Common problems include key loss, a lack of transparency regarding availability, error-prone manual lists, and unclear responsibilities for issuing and returning keys. Unauthorized transfers or necessary lock changes can incur significant costs and risks. The digital solution enables location-independent and audit-proof management. Each key is assigned a unique barcode, created as an object in the system, and assigned to a keypad. This makes it possible to see at any time whether a key is available, has been issued, or returned. All key movements—issuance, return, or removal by external service providers—are documented with a timestamp and the name of the person involved. Additional free-text entries provide further transparency. Issue and return are performed remotely via barcode scan using a smartphone or tablet, directly within the workflow. The system also indicates which key is needed for which task. This approach reduces travel and waiting times, increases maintenance efficiency, and improves security. Benefits include controlled access authorizations, a lower risk of costly lock changes, and reliable documentation for liability and security issues. Digital key management offers significant added value, especially for external service providers and large property portfolios.

The GS Service software offers a holistic solution for digital operations management and maintenance. With its modular structure, the system covers all relevant areas – from the structured mapping of assets and resources to personnel and task management and efficient fault and defect processing. The software enables centralized management of fleets, equipment, tools, and personal protective equipment, as well as precise organization of personnel resources. GS-Touch: The way to work more efficiently
The GS-Touch mobile application offers standard workflows for all relevant maintenance processes (inspection, servicing, restoration, repair). GS-Touch is used by companies with distributed infrastructures - such as municipal utilities, suppliers, network operators and operators of large industrial plants. In terms of functionality, the mobile app provides e. g. simple checklists for processing upcoming tasks, asset information, commission lists for required material, the quick recording of expenses for the jobs (working time, used material, kilometres driven), the generation of service reports and an interactive map function. As GS-Touch can be configured intuitively, it is easy to integrate customised processes such as meter exchanges.
